In January 2024, we completed an extraordinary project - transporting display cases, racks, and stands directly from Warsaw to an architectural exhibition at the United Nations headquarters in New York. What were the biggest challenges of this project? Only 4 days for transportation and conducting a complex customs procedure. Find out how we managed it.

The transport was organized for the National Institute of Architecture and Urban Planning.

Time was of the essence in this project. We had to deliver the goods before the start of the exhibition. That's why we opted for the fastest possible solution - air freight via a direct passenger flight from Warsaw to New York. Our activities also included the road transport of goods to the airport in Poland and delivery from the port in the USA to the designated warehouse. The entire process took 4 days.

We also provided comprehensive customs clearance support, including preparing necessary documents and permits, and contact with the relevant authorities in Poland and a customs agent in the United States. However, for the project to be successful, some formalities had to be completed personally by the Institute. Therefore, our team of specialists supported the customer with their knowledge and experience in obtaining, in a very short time:

  • EORI number - an identifier that is necessary for an organization to import or export goods from outside the European Union. It applies throughout the European Union territory and is used as a common reference number in dealings with customs authorities in any member state.
  • ATA Carnet - a special international customs document that facilitates and expedites the temporary customs clearance of goods, including those for exhibitions, being taken out of a country. The ATA Carnet holder is not required to fill out multiple customs documents or declarations or to post bonds at each border crossed.

The project was carried out in collaboration with Röhlig Logistics office in the United States.

Kacper Kępiński, Manager of External Projects and Exhibitions Department at National Institute of Architecture and Urban Planning, says, "If it weren't for the dedication and cooperation of the Rohlig SUUS Logistics team, we wouldn't have been able to deliver the exhibition on time - many of the companies we initially negotiated with were unwilling to take on this complex task in such a short timeframe. Due to its location, the project was very important and prestigious for us, which is why we especially appreciate the efficiency with which the exhibition transport and all related customs formalities were organized".
